Screenz.ai (“Screenz,” “we,” “our,” or “us”) is a hiring intelligence platform that automates first-round interviews and surfaces predictive signals to help companies hire faster and more fairly. Our registered business contact is hello@screenz.ai.
This Privacy Policy explains what personal data we collect, why we collect it, how we use it, and what rights you have over it — whether you are a job candidate who completed an AI interview, an HR professional or recruiter using our platform, or a visitor to our marketing website.
2. Data We Collect
A. Enterprise Platform (app.screenz.ai)
When your employer or a prospective employer uses Screenz to manage a hiring process, we collect and process the following categories of data:
- First name and last name
- Email address
- Interview responses — audio, video, or text recordings of AI-led screening interviews
- AI-generated scores and behavioral signals derived from interview responses
- Explicit ratings and written notes submitted by hiring managers and recruiters
- Hiring stage decisions: advance to next stage, take no action, or extend an offer
- Final hiring decisions (hired / not hired)
- Post-hire retention data points (e.g., tenure milestones, role changes)
- Attrition events (voluntary departure, termination) shared by the employer
Retention and attrition data are provided directly by the employing organization and are used solely to improve predictive hiring models for that organization. Screenz does not independently collect or verify this data.
B. Marketing Website (screenz.ai)
When you visit our marketing website, we collect:
- Cookie data and usage analytics (pages visited, session duration, referral source) — see Section 5 for details
- Contact information you voluntarily provide when booking a demo via our scheduling tool (Calendly), including your first name, last name, email address, and company name
- Any information you provide through contact forms or email inquiries
When you book a meeting, Screenz creates a contact record in our CRM using the information you submit. You may request deletion of this record at any time (see Section 8).
3. How We Use Your Data
We use personal data for the following purposes:
- Delivering and operating the Screenz platform on behalf of hiring organizations
- Generating AI interview scores, behavioral summaries, and candidate rankings
- Enabling hiring teams to review, rate, and make decisions on candidates
- Building and improving predictive models that correlate early interview signals with post-hire outcomes — conducted only within the scope of the employing organization's account
- Communicating with you about your interview, demo booking, or support request
- Sending product updates or marketing communications where you have given consent or where we have a legitimate interest (you may opt out at any time)
- Complying with legal obligations
4. Legal Bases for Processing (GDPR)
For individuals in the European Economic Area (EEA), United Kingdom, or Switzerland, we process your personal data under the following legal bases as defined by the General Data Protection Regulation (GDPR) and applicable national law:
- Contract performance — processing necessary to carry out our services as contracted with the hiring organization or directly with you
- Legitimate interests — improving our platform, preventing fraud, and marketing to business contacts where we have assessed this does not override your rights
- Consent — for cookies and marketing communications where we seek your explicit consent
- Legal obligation — where we are required by law to retain or disclose data
Where Screenz acts as a data processor on behalf of a hiring organization (the data controller), we process candidate data under a Data Processing Agreement (DPA) with that organization. If you have questions about how a specific employer uses your data, please contact them directly.
Where Screenz acts as a data controller — such as when you visit our marketing website or contact us directly — this Privacy Policy governs your rights.
You have the right to lodge a complaint with your local data protection authority at any time. EU residents may contact the supervisory authority in their Member State; UK residents may contact the Information Commissioner's Office (ICO).
5. Cookies & Tracking
Our marketing website uses cookies and similar tracking technologies to understand how visitors interact with the site and to improve our content and advertising.
We use the following categories of cookies:
- Strictly necessary cookies — required for basic site functionality (e.g., session management). These cannot be disabled.
- Analytics cookies — we use tools such as Google Analytics to understand aggregate traffic patterns, page performance, and referral sources. IP addresses are anonymized where possible.
- Marketing cookies — if you arrive via a paid ad or referral link, we may use cookies to attribute that visit and measure campaign performance.
On your first visit we will ask for your consent to non-essential cookies where required by law. You can withdraw consent or manage your preferences at any time through your browser settings or by contacting us.
6. Data Sharing & Third Parties
We do not sell your personal data. We share data only in the following limited circumstances:
- With the hiring organization that contracted Screenz — they are the controller of candidate data collected through their account
- With service providers who process data on our behalf under strict contractual obligations (e.g., cloud hosting, CRM, scheduling tools)
- With Calendly, when you book a demo — Calendly's own privacy policy governs their processing of your information
- With legal or regulatory authorities when required by applicable law
- In connection with a merger, acquisition, or asset sale — in which case we will notify you and ensure equivalent protections apply
7. Data Retention
We retain personal data for as long as necessary to provide our services and fulfil the purposes described in this policy, subject to any legal retention obligations.
- Candidate interview data is retained for the duration of the hiring organization's contract, plus up to 12 months unless the organization requests earlier deletion
- Post-hire retention and attrition data is retained for the duration of the employer's active subscription
- Marketing contact records are retained until you request deletion or unsubscribe
- Website analytics data is typically retained for 26 months in aggregate, anonymized form
8. Your Rights
Depending on your location, you may have the following rights regarding your personal data:
- Access — request a copy of the data we hold about you
- Rectification — request correction of inaccurate or incomplete data
- Erasure — request deletion of your data ("right to be forgotten") where we have no overriding legal basis to retain it
- Restriction — request that we limit how we process your data in certain circumstances
- Portability — request your data in a structured, machine-readable format
- Objection — object to processing based on legitimate interests or for direct marketing
- Withdraw consent — where processing is based on consent, withdraw it at any time without affecting prior processing
To exercise any of these rights, email us at privacy@screenz.ai. We will respond within 30 days. If your request relates to data processed by a hiring organization, we will direct you to the appropriate controller.
9. Data Security
We implement industry-standard technical and organizational measures to protect your data against unauthorized access, loss, or disclosure. These include encryption in transit (TLS) and at rest, access controls, and regular security reviews. No system is completely secure; if you believe your data has been compromised, contact us immediately at privacy@screenz.ai.
10. International Transfers
Screenz operates primarily in the United States. If you are located in the EEA, UK, or another jurisdiction with data transfer restrictions, your data may be transferred to and processed in the US. Where required, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission or equivalent transfer mechanisms to ensure your data receives adequate protection.
11. Children's Privacy
Screenz is not directed at individuals under the age of 16. We do not knowingly collect personal data from minors. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.
12. Changes to This Policy
We may update this Privacy Policy from time to time. When we make material changes, we will update the effective date at the top of this page and, where appropriate, notify affected users by email. Continued use of our services after changes are posted constitutes acceptance of the updated policy.
